Cancellation Policy
Catering: All morning and afternoon teas and lunches, as scheduled in the programme, will be held within the exhibition area. Cleaning: All exhibition spaces need to be kept clean and tidy throughout the conference. Cleaning of your space is your responsibility. Deliveries: To enable us to monitor all parcels coming into the venue for your event, please complete and attach a copy of the Delivery Label (downloadable above) to every box/piece being sent to the venue. Deliveries should arrive no earlier than Wednesday 19 March 2025 between the hours of 8.00am and 4.00pm. Should your deliveries require Customs Clearance, this must be arranged in advance and the venue cannot be held responsible for clearing any packages. For more information on this please check New Zealand Customs website directly: www.customs.govt.nz/business/import/ The venue does not accept responsibility for the loss or damage of any materials accepted/stored by the venue. Collections: All packages must be labelled and collected on the first business day after the events conclusion. After this time the venue cannot be held responsible for storage of any item, or damage or loss to items. Please leave your labelled packages at your exhibition stand and the venue will take these packages to the loading bay ready for collection the following business day. Packages must be sealed and properly addressed detailing the below information: - Delivery address - Contact name and contact number of sender - Number of boxes in delivery (i.e 1 of 3 / 2 of 3 …etc) Any items not picked up 14 working days after the event will no longer be stored and will be disposed of. Any items which are left at your stand and not labelled for collection, will be treated as rubbish and disposed of accordingly by the venue (recycling where possible). Exhibition Opening Hours Thursday 20 March 2025 - 7:30am-6:00pm (includes Welcome Reception) Friday 21 March 2025 - 8:00am-4:00pm Saturday 22 March 2025 - 8:00am–3:30pm Sunday 23 March 2025, 8.00am - 3.00pm Electricity: Installation of electrical equipment, including lighting fixtures, must adhere to Electrical Regulations. Exhibitors are advised not to use electrical fittings which may contain sub-standard circuits in their booths. |
Fixtures & Fittings: No tapes, nails or fixtures of any kind are to be affixed to the walls, doors, floor, ceiling or glass in the venue. No freestanding fitment may exceed 2 metres in height or extend beyond the boundaries of your space. This includes exhibits, names or logos of your organisation/s and advertising materials. Insurance: It is the exhibitor’s responsibility to confirm insurance as required, to cover yourselves against all risks at the conference. The exhibiting company shall be responsible for all aspects of setting up and operating its own booth and shall bear the responsibility to confirm public liability and indemnity insurance (as required). Exhibitors shall bear the full responsibility of compensation in case of accidents without making any related insurance claims to NZPS or Workz4U Conference Management. Location and Power: The exhibition area will be located in Glenroy Auditorium, The Dunedin Centre, Dunedin. You will have the opportunity to request power during the registration process. Pack In and Out Pack In: Wednesday 19 March 2025, 3.00pm - 5.00pm Due to Health and Safety requirements exhibitors will not be granted access to the exhibition area prior to this time. Pack Out: Sunday 23 March 2025, after 3.30pm. Exhibitors must not pack out prior to this time. Storage: There is limited storage available at the venue. It is important that all boxes to be stored are clearly labelled. Terms & Conditions: Please ensure you are familiar with the terms and conditions set out in the Sponsorship & Exhibition Prospectus. Those conditions work in conjunction with this information. WiFi: WiFi is complimentary at the venue. |
